Job Summary

The purpose of Development and Institute Relations (DIR) is to foster a thriving and engaged community of support for Caltech. Reporting to the Assistant Vice President of Campaigns and working closely with senior leadership, the Campaign team and fundraisers, the Executive Director of Advancement and Campaign Communications will define the overall strategy and plan for all broadly-directed advancement marketing and communications efforts within DIR—notably including those related to a $2 billion comprehensive campaign. The ED will be the lead campaign and marketing strategist for DIRincluding the development of campaign messages, cases, visuals, digital resources; and marketing plans and strategies for prospective and existing donors that optimize the success of fundraising efforts. The department also oversees executive communication for the President, Provost and Vice President related to DIR activities.

Working closely with colleagues in Strategic Communications, the executive director will ensure that the communications strategy for advancement and campaign communications is complementary to that of the Institute and that all branding and identity guidelines, design specifications, tone and voice standards set by Strategic Communications are consistently followed. The executive director is an effective and strategic communications leader and manager.

Job Duties

In consultation with development and university leadership, develop, implement, and oversee marketing and communications plans to support the BreakThrough Campaign, engaging all audiences through a multi-channel approach that drives audience engagement and participation.

Develop a comprehensive marketing/communications plan that includes strategic and tactical programs, that addresses the goals of the campaign, builds awareness and fosters increased engagement by advancement audiences.

Lead and manage DIR’s professional marketing, writing, and creative staff, who provide both strategic and hands-on production-level work, effectively serving as a consultant/marketing agency to internal departments. Manage staffing, workflow, performance, and team development.

Directly manage, evaluate, coach, and mentor the following professional level staff members: Senior Director of Editorial Services, Assistant Director of Client Services, Lead Writer for Presidential Communications, and Senior Writer for Executive Communications and Reports. 
Establish annual work plans, priorities, standards, and ensure each team member is achieving these measures.

Work with Institute and academic leadership to advance strategic priorities of the Break Through campaign and filter opinions and perspectives in a manner that advances the core objectives and work products.

Provide leadership, expertise, counsel, and coordination for communication and marketing strategies and for the production of hundreds of deliverables vital to the overall success of advancement efforts. Work across the organization as appropriate.

Offer leadership and coaching for executive communication strategies – including campaign communications directly related to the President, Provost, and Vice President for Development and Institute Relations.

Contract and manage the work of external constituents such as freelance writers, consultants, photographers, designer, etc.

Provide leadership to the execution of related elements, including white papers, case statements, newsletters, e-communications, stewardship materials, principal gift proposals, brochures, presentation materials, and all campaign-related web-based content.

In partnership with the Office of Strategic Communications, provide leadership and strategic direction for all BreakThrough Campaign gift announcements and other campaign related stories.

Define annual work plan and budget for advancement and campaign communications team and manage the same.

Establish operating policies, procedures, departmental and individual goals and metrics.
Actively seek out and appropriately apply trends and best practices at peer and aspirant institutions.

Balance discipline –planning and measuring – with agility – handling the unexpected.

Job Requirements:

Basic Qualifications

• Bachelor’s degree with 8+ years of experience in marketing or communications to include: developing and executing high-level marketing and communications plans. 
• Proven experience in leading a fundraising communications, marketing, and creative services team and in developing effective marketing/communications plans for a major fundraising campaign.
• Demonstrated experience building, leading, motivating, assessing, and holding accountable high-performing, well-integrated professional teams, preferably in a higher education fundraising environment.
• Experience working with executive leadership to advance strategic priorities.
• Expertise in core marketing principles, strategies, and best practices, as well as marketing and communications mediums.
• Excellent organizational and planning skills to envision new projects and oversee them from concept to completion.
• Proven track record managing personnel, programs and budgets. 
• Comprehensive knowledge of every step in the communication and marketing materials production process in order to guide staff, outside vendors and teammates in creating outstanding products.
• Ability to inspire others, foster cross-divisional collaboration and manage by influence across a diverse organization.
• Ability to give guidance, share and receive constructive feedback, and integrate varying points of view.
• Ability to set priorities, meet deadlines and juggle multiple demands in a complex and fast-paced work environment.
• The highest standards of professional and personal behavior; excellent judgment and the ability to treat confidential information with discretion.
• Demonstrate the ability to practice and adhere to organizational values.

Preferred Qualifications

• Advanced degree in communications-intensive discipline.
• Recognized (via awards, publications, etc.) by peers for excellence in advancement communications.
