Job Description:

FLSA: Exempt, Full-time

 

Responsibilities:

Under general supervision, the Quality Services Specialist – Project Management manages a caseload of projects related to quality improvement activities. The QSS manages the scope of work for assigned projects and ensures the accurate and timely delivery of work products.

Essential Functions:

Service Goal:

Consistently promotes and models courteous LAUP/community service in a prompt and efficient manner. Maintains positive relationships with all LAUP internal and external contacts through professional honest interaction. Responds to requests quickly and professionally recognizing that a request serves an organization and/or community need.

LAUP Mission:

Supports LAUP mission of advance early education program quality and capacity by supporting the development of the whole child, growing a qualified and diverse workforce, and strengthening family engagement. Create and sustain strategic partnerships and advocate for policies that promote access and program excellence.

Daily Tasks

  • Maintains a caseload of multi-faceted projects that may include but is not limited to work related to quality assessments, trainings, and/or technical assistance
  • Tracks milestones, deliverables, and outcomes for each individual project to ensure that the required scope of work is completed in a timely manner
  • Coordinates scheduling as applicable to each project
  • Monitors resource availability and allocation and notify management of potential resource shortages
  • Maintains rigorous quality control and assurance processes in order to meet grant and/or contract requirements
  • Creates and maintains comprehensive project documentation
  • Inputs data into the applicable data system to compile all pertinent information and document measurements for the project’s progress and performance
  • Manages multiple deadlines effectively and work with other staff to ensure that all aspects of the project are handled correctly
  • Provides timely and accurate communication to internal and external stakeholders via various modes of technology (phone, e-mail, etc.)
  • Attends assigned meetings to provide scope of work updates on assigned projects
  • Assists in preparation of reports, analyzing data, and identifying solutions
  • Contributes to an effective professional work environment
  • Participates in regular training to increase and maintain core competencies

Physical Duties

  • Work is primarily sedentary in nature, no special demands are required. May be expected to lift boxes up to 20 lbs.

Other Duties

  • Other duties as assigned.

  • Adheres to LAUP general safety practices and any unique safety practices for the department and/or building.

 

Job Requirements:

Knowledge and Skills Requirements: 

Knowledge: 

  • Understanding of project and resource management principles
  • Demonstrated ability in leading and managing complex projects
  • Knowledge of business vocabulary and composition of business documents
  • Working knowledge of correct English grammar, spelling and punctuation; ability to communicate effectively, both orally and in writing
  • Ability to analytically evaluate project scope and assess risk
  • Familiarity with change management concepts

Requirements / Skills: 

  • Proficient in Microsoft Word, Excel, PowerPoint and Outlook
  • Strong interpersonal skills for interfacing with staff, providers and stakeholders 
  • Strong problem-solving and organizational skills. Must be detail-oriented, flexible, and decisive with excellent customer service skills
  • Must have reliable transportation and be able to travel both locally and outside of the local area (out of county and out of state as needed). Early morning, evening and weekend are required
  • Must have a valid California Driver License and proof of LAUP required level of automobile insurance

Required Travel:  Up to 25%, as needed

Preferred Experience: 3 - 5 years’ experience of program and/or project management experience and Project Management Professional (PMP)® Certification preferred

Formal Education:  Bachelor’s degree required and experience working with the public in a professional environment with increasingly responsible duties

Language proficiency:  Proficient knowledge of English grammar required. Bilingual (English/Spanish) a plus
